The Production Associate is a full-time support position for the Director of Production, Engagement Team, and Operations Department focusing on production work at the Cadillac Palace Theatre, James M. Nederlander Theatre, CIBC Theatre, Broadway Playhouse and other presenting venues as applicable. This position reports directly to the Director of Production and works alongside the Production Engagement Associate.
Initial responsibilities include but are not limited to the following:
- Create and maintain production calls on the office calendar used to schedule building staff.
- Initial payroll entry for local stagehands, wardrobe, hair, and musicians.
- Maintenance of various tracking spreadsheets and other digital records.
- Keep all necessary parties up to date on ADA performance schedules for specific engagements and maintain assisted listening device inventory.
- Track local crew vacations/absences.
- Assisting Director of Production with onsite production work calls (will involve significant time walking, standing, and working outdoors in all weather).
- Onboarding new Union employees with all necessary paperwork.
After sufficient training, responsibilities to further include but are not limited to the following:
- Creates, maintains and updates as needed all annual stagehand fireguard licenses & renewals or replacements as required and credentials for house heads.
- Update and maintain theatre supply inventory for all BIC venues.
- Handle annual venue soft good flameproof testing/treatment and chain motor maintenance and repairs.
- Responsible for coordinating use of the onsite rehearsal rooms.
- Solo management of onsite production work calls (will involve significant time walking, standing, and working outdoors in all weather).
Basic qualifications for this position include:
- Proficient in Microsoft Office, specifically Microsoft Excel
- Excellent communication skills, both written and verbal
- Detail oriented and highly organized
- Ability to multitask and problem solve in a fast-paced environment
- A sense of urgency and the ability to prioritize tasks
- Ability to deal effectively with a wide variety of personalities and situations
- Understanding that working evenings (including overnight hours), weekends, and holidays may be required
- Basic technical theatre knowledge
