The Production Assistant is a part-time support position for the production department focusing on production work at the Cadillac Palace Theatre, James M. Nederlander Theatre, CIBC Theatre, Broadway Playhouse and other presenting venues as applicable. This position reports directly to the Director of Production and works alongside the Production Engagement Associate.
Due to the nature of the touring show schedules, evening and weekend hours will be required in addition to typical office hours. While number of hours per week remain fairly consistent, schedules are drafted based on production activity. All efforts will be made to provide a flexible schedule, though a PA’s presence at certain events will be required.
Responsibilities to include but are not limited to the following:
- Creating and maintaining payroll templates.
- Creating and maintaining local crew rosters.
- Assisting production staff with supply ordering for all BIC venues.
- Maintenance of various tracking spreadsheets and other digital records.
- Assisting production staff with onsite production work calls (will involve significant time walking, standing, and working outdoors in all weather).
- Onboarding new Union employees with all necessary paperwork.
- Communicating with a wide range of vendors, touring show staff, and BIC staff.
- Regularly traveling between venues and offices in the loop to deliver supplies, paperwork, etc.
Basic qualifications for this position include:
- Proficient in Microsoft Office, specifically Microsoft Excel
- Excellent communication skills, both written and verbal
- Detail oriented and highly organized
- Basic technical theatre knowledge
